Rental Contract 

  • This is a rental contract. Items included on these pages are owned and the property of Party Rental Depot Inc. (PRD), to be returned in the same condition it was received.
  • Specific requirements for certain items’ care and operation must be followed, by accepting these terms you agree to read and abide by the policies emailed to you about said items.

Rental Retainers / Prepayments

  • An open Visa or MasterCard Credit Card is required, to be charged in the event of loss, or damages caused by negligence.
  • A 50% rental retainer, due at signing, is required to reserve items and our services. Unused retainers from cancellation or reduction will be transferred to store credit. Store Credit is transferable.

Contract Amendments/ Cancellations

  • 3+ days’ notice from the delivery date is required for all changes. 
  • Within 3 days of delivery, cancellations or reductions will be charged 100% of the order value. 
  • Neither party shall be held liable for any failure or omission in the performance of this rental contract if such failure is caused by, or shall arise, from acts of God, terrorism, wars, riots, floods, or other contingencies beyond the reasonable control of the parties, which would make the performance of this rental contract commercially impractical (a “Force Majeure Event”).  In the event of a Force Majeure Event, the Event Host shall be entitled to store credit for the entire balance of the order, minus delivery charges if the Force Majeure Event starts 1 day before delivery.
  • Rentals are charged for time out, not time used. Unused items are not eligible for refund or credit. 
  • All sale items are final sale

Tents & Tent Permits

  • Tent orders – 25%  cancellation fee for cancellations within 30 days of delivery.
  • Within 3 days of delivery, standard conditions apply.
  • Alberta One-Call must perform utility locates at least 3 days up to 14 days prior to tent installations. 
  • Private utilities; Shaw, septic, etc. that are of concern require a private locator at the Event Hosts’ expense. Event Hosts assume all responsibility for damage to any services as a result of PRD performing work. 
  • Event Hosts are responsible for obtaining and following any/all permits that may be required by a municipality. 

Damage & Loss 

  • Lost items lost are charged the full replacement value of the item, if returned within 15 days a refund will be processed. PRD must be notified of missing items on delivery. Event Hosts will be responsible and liable for each piece of equipment.

Whoops! Plan

  • A 10% fee on all rental items covers unexpected damages to equipment through regular use. 


  • Delivery windows are an arrival time only, they do not include unloading and set up time.
  • An on-site contact must be present to accept and sign for the delivery.

Equipment Responsibility 

  • Equipment remains the responsibility of the Event Host from delivery/Event Host pick-up, to its pickup/Event Host return.
  •  The Event Host shall not permit any modifications or repairs to be made to the equipment without consent. 

Late Returns 

  • Items returned after the scheduled return date will be subject to late charges at a minimum of 20% up to 100% of the rental price per day. 


  • Stampede orders’ balance must be paid in full by June 15, orders not paid in full will be assumed canceled and equipment may be released for rental. 


The liability for injury, disability, and/or death of any persons caused by the operation, handling, or transportation of the equipment after taking possession from Party Rental Depot shall be that of the Lessee and the Lessee shall indemnify and save harmless Party Rental Depot against all said liability. The Lessee shall also indemnify and save harmless Party Rental Depot against loss, expense, damage, and/or penalty or penalties which may arise out of the action for damages to property or persons occasioned by the operation, handling, or transportation of the equipment during the rental period. Party Rental Depot is not liable for any damage caused to personal vehicles from loading or unloading or damage caused by the rental equipment.
